Step 1: Define Your Locations

Start by creating a clear location hierarchy inside Procore.

Think of your site as a tree:

This structured breakdown mirrors how you actually manage your space on-site. Once locations are defined in Procore’s Admin > Locations section, you’ll be able to tag every item: Tasks, RFIs, Defects, Observations, etc., with a specific place on site.

Step 2: Create Action Plans per Location

Now it gets tactical. Use Procore’s Action Plans feature to define the scope of work in each area. This could include:

Assign each plan to a specific location in your hierarchy. This allows you to break down massive scopes into bite-sized, location-specific tasks.

Step 4: Monitor in Real-Time

Once everything is tagged to a location, you can begin tracking activity, but it’s not all visible in one dashboard. In Procore, the best way to monitor what’s happening in a specific area is to go into Admin > Locations, select a location, and view all related items: observations, inspections, action plans, photos, and more.

It’s powerful, but still a bit manual. You can see what’s happening in each zone, but you’ll need to dive into the location tree to do it.
